South Axholme Sharks Committee Meeting
held at
The Red Lion Hotel, Epworth
on the
27th April 2007

Present: Kevin Dunne (Head Coach), Jill Watson, Jeff Buxton, Margaret Gray, David Gray, Bev Webb, Claire Windle, Jim Cook & Angie Shpylka.

Apologies: Jan Simm & Julie Hirst, Simon Latham, Sandra Temperton, Lynn Crawford.

Minutes of Last Meeting

Agreed as a true record, apart from an incorrect date noted under forthcoming Galas, for the Dinsdale League Gala at Thorne, which should have read the 31st of March 2007 and not the 1st of March 2007. Apologies.

Matters Arising

Jeff advised that the Officials Courses are scheduled for the autumn, exact dates unknown as yet. He also advised that the DMASA have been informed that we would be willing to run a course on their behalf.

Angie has revised the Sharks leaflet mentioned in the previous months minutes and this has now been emailed to various schools. David also advised that the Company whom he works for were not willing to print any leaflets for us.

Misterton Minnows Swimming Club are reforming with Catherine and Annette planning to run the Club however, they still have to apply to the ASA. Kev has already offered his advice and help if required and he is willing to do so on an on-going basis. Perhaps we could use them as our feeder Club until they have officially set up?

We still haven’t bought the new software for Team Manager and therefore Angie, our new Records Officer, is not able to take over this post from Kev at the moment.

Our thanks to Jeff Squires who is now helping on poolside when he is available.

The Monday night Masters sessions are going well. Becky Milnes has asked if she can take these sessions as she wishes to progress her coaching exams further and would like to use the Masters as ‘guinea pigs’! The pool management are happy for her to do this.

The Sharks Open Meet sub-committee have not had a meeting since our last meeting however, Sandra advised that she has been able to organise some Officials, who have confirmed they are happy to attend; these are Rodney Briggs – Referee, John Giles – Referee, Chief Time-keeper – Mrs. Giles. They have also received written confirmation that the Pool in Beverley has been booked for us.

Simon Latham, absent from this meeting, to up-date on risk assessment at the next meeting.

No progress on the ‘roving reporter’ post, which is still vacant, although the recent anonymous write up on our web-site was excellent.

Sandra advised that the t-bag t-shirts had still not arrived even though they were ordered on the 29th of January! Sandra has found another Company, via the internet, who produce these and they have sent us samples and costings etc. (www.designalike.co.uk). Sandra may re-order them from this Company unless the previous order arrives shortly.

Correspondence

We have received copies of the CRB disclosures for the following people: Dorothy Squires, Pat Simm, Jan Simm, Margaret Pennell, Bev Webb, Jim Cook, Sandra Temperton, Sara Temperton, Gaynor Neary, Bev Holroyd, Eddie Creek, Angie Shpylka and Claire Windle. These have been passed to Margaret Gray.

The Club has received some Speedo Membership Cards, which can be used at the Speedo shops to obtain a discount however; they must be presented with your ASA membership card when claiming the discount. Margaret Gray to hand out to parents.

We have received the minutes for the Yorkshire Swimming association dated the 15th of March 2007, the main point in these being the change to the ASA British Swimming Association Law re the minimum age and age on day of meet etc. for competing swimmers. Basically, the age on the day of the competitor applies for most meets apart from League Galas where it is the age of the competitor as at the last event in that League. In addition the minimum age for competitors has been revised for certain meets, in that Club Champs there is no age minimum, interclub events (not a League galas) minimum age is now 8 years, Open Meets minimum age 9 years, Regional relay events minimum 9 years and individual Regional events minimum age 10 years.

Sandra has sent a letter to Lianne re Katie Lindop regarding her being affiliated to a feeder Club of DARTES, advising that Sharks would be happy to remain her feeder Club if she so wished. Lianne advised that Katie has joined Askern Spa Club, which she is using as her feeder Club for DARTES.

Coach’s Report

Only one Gala has taken place since the previous meeting and this was the Gala on the 31st of March 2007 against Thorne Tigers. Sharks won 39 events out of a possible 49, which gave Sharks 295 points against Thorne Tigers’ 174 points.

Some Sharks swimmers attended the Hull Kingston Open meet on the 15th of April under the DARTES banner. The seven swimmers taking part were Matthew Hirst, Alex Cook, Holly Lewis, Lewis Starbuck, Hannah Hirst, Anna Laird and Alison Pennell. Some excellent results were achieved from all swimmers. This event also gave Cris Lewis an opportunity to talk to the officials and look over the timing equipment etc, as this is the Pool where we will be holding our own Open Meet later in the year. Could the Sub-Committee please note that the Life Guards at this Pool are very strict and must be able to see all parts of the Pool, which will mean that the supporting competitors will not be able to stand on the lane ends, but there is plenty of space for them and their bags on poolside.

Forthcoming Galas

Bridon Shield Team Relay to be held on the 29th of April at Adwick. Kev advised that he had managed to cover most of the relay teams now but some 11 year olds are swimming up and he may struggle with the 14 year old girls team.

On the 12th of May it is the Lincs Senior League 2nd round at Grimsby, warm up 6pm, age groups 10s, 12s, 14s and open.

Lincs Junior League 2nd round to be held on the 19th of May at Gainsborough, warm up 5.30pm. We need officials for this Gala as we are the hosts (Jeff to organise). Age groups 9s, 10s, 11s and 12 years. Kev advised he may not be able to attend this Gala and if so he would arrange a stand-in coach.

The Fenland Open Meet is to be held on the weekend of the 26th and 27th of May, 17 swimmers have entered and this is always a good weekend for swimmers and parents alike.

Agenda Items Discussed

Jim advised that there was no further news on the possible proposed changes to the Club structure, as the subject had not been raised again at the Epworth Pool Committee meetings and he felt it was unlikely to be raised again this year.

Epworth Pool would soon be getting their computer back from the Police with no issues raised.

Apologies to everyone, especially Lynn Crawford, for not running the Swim 21 meeting on the 17th of April as planned but the Swim 21 book/application has not been received back, although we have been advised that it has gone through the Regional ASA check and is currently with the National ASA for checking. We anticipate that this will be back with us towards the end of May.

It was thought that we should use the Club Champs as a dummy run for our Open Meet in that we should go ‘cardless’. Unfortunately we do not think that Cris Lewis, our resident computer expert, would be available on the Club Champs dates therefore Angie is to approach Cris to ask if we can use Meet Manager for the trial run. Kev suggested that we could use Team Manager on a laptop at the Pool if necessary. Angie has also volunteered to organise the officials needed for Club Champs.

The Committee agreed that it would be a good idea to appoint two Club Presidents, their role mainly being to present trophies to the winning competitors at Club Champs on the event days. We have agreed to approach Ian Davison as the gentleman President and Shirley Hinchliffe as the lady President, as they are both good ambassadors for the Club. Bev to write to Ian and Shirley on behalf of the Committee re this proposal.

The Committee discussed the Sharks swimming calendar for this year and how it had been arranged, as some swimmers and parents had commented that this year the Club Champs were scheduled for the same day as the North Eastern Counties and three swimmers have qualified this year. Kev told the Committee that he had written the calendar and Club Champs were traditionally always held in June and November and as no Sharks swimmers qualified for the North East Counties events last year he had to presume that this would be the case this year. As Kev explained the Club Champs dates are usually scheduled around the other League and Open Galas that Sharks normally attend every year and he has to attend all the various League Meetings at the end of every year to find out when these events are scheduled for and work around these for the Open meets and Club Champs dates, which is quite some task. We may need to look at different dates in the calendar year for Club Champs next year and if we had a Competition Secretary this may help matters going forward. The Competition Secretary will have to attend all the League Meetings and schedule our own events around these. He/she will have to liase with Kev, the DARTES calendar and the Counties and National event dates. Kev advised that he would be quite happy for a Competition Secretary to take over this task for next year.

Any Other Business

1. DMASA Meeting 6th April 2007

Jeff Buxton attended the above mentioned meeting and reported as follows:

DMSA general purpose committee report
Date 6th April 2007.

No minutes of last meeting presented.

The committee agreed that the recent teachers course would be subsidised by 25% by the DMSA. Cost of course £125.

DARTES report
YASA Gala 2 &3 result: - the DARTES Team achieved good performances all round and continues to go from strength to strength by the number of swimmers achieving finals and medal positions.

DARTES attended the Sheffield premier meet at Ponds Forge and again gave a good account of themselves.

DARTES team will attend the Hull Open meet at the new Beverly pool later this month.

Six representatives of the DARTES training scheme have been invited by Harrogate swimming Club to attend an advanced Long course training camp in Spain. This a credit to the swimmers selected and coaching staff, that DARTES are recognised and respected as a high performance club.

In addition four swimmers from the DARTES squad have been invited to attend an international open meet, again at the invitation of Harrogate SC in Berlin.
One of the swimmers selected was SAS SC Alison Pennell well done to Alison.

Chris Hirst reported that there had been no further discussion from the DARTES committee or action to report regarding DARTES membership and out of Borough swimmers and feeder club membership. To be discussed at the next meeting.

DARTES have introduced an entry session for Feeder club swimmers to attend if swimmers can meet the criteria required.

Feeder club Head coach and coaches have been invited to attend training sessions of DARTES to see and discuss with DARTES head coach what is going on within the DARTES training scheme, understand what the aims of the scheme are and what plans are in place for Doncaster’s premier swimming club.

It was proposed that the DMSA should organise and run a Coaching session that could be passed down to feeder club coaches and Roy Sheperdson, DARTES Head Coach, would be invited to conduct the coaching workshop.
To be discussed in detail at next meeting.

The DARTES “B” grade meet will now take place on the Saturday the day before the original Sunday date. This has been a result of a mix up with competing sporting venues booked for the same day and Adwick pool and LC unable to accommodate both venues.
Closing dates for entries 22nd April 2007.

Championship Report.

The Bridon Shield will take place 29th April 2007 at Adwick pool. Warm up times to be advised.

Date of next meeting

2nd of May 2007, St James Pool, Doncaster

2. Development Squad – DARTES

The Committee discussed the DARTES development squad, who train on a Sunday afternoon at Adwick Pool, some people felt that not enough swimmers were being asked to join this squad from Sharks. Kev advised the Committee that he has always encouraged swimmers, who he feels will benefit from this training to go along to these development sessions however, some swimmers are not interested or have been and do not want to go again for the time being they are quite happy just swimming for Sharks. There has also been a problem with the Sunday sessions, as some swimmers have turned up at Adwick and the training session has not been run and the coaches are not there!

3. Presentation Night

It was confirmed that the room at Brumby Hall has been booked for the 6th of July for the next presentation night/social evening. It was agreed that only the first place trophies and Sprint Ladder Trophies etc. would be presented on the night as the other medals would have been presented on the Club Champs evening. The Committee thought it a good idea if the DJ could perhaps let the children take part in some games and we should also try and organise a tombola/ raffle etc. to raise some much needed funds for the Club. Tickets will be £5 each as last year.

Date of Next Meeting

Tuesday the 22nd of May 2007 at the Red Lion Hotel, Epworth to start at 7.15pm.
